Student Worker FAQs


Should student workers update their personal information in Workday?

No.  Banner is still the system of record for student information. Please follow existing processes for updating personal information if you are a student. 

However, student employees will maintain their direct deposit information in Workday.


When will Student Workers start using Workday to track time?

Student Workers in Dining Services and Library Services (who previously used TimeClock Plus to clock in) will begin using Workday on December 14, 2025 to track time. 

All other Student Workers will begin using Workday when they return in January 2026.


How do I get a job on campus?

There is a new student jobs board in Workday where you can view posted jobs and apply.  Form more information, watch the “Apply for Student Worker Job Opportunities” video on the Workday Learning Pathways | Student Workers page.


What is changing for my time entry?

Student workers will clock in and out daily using their phones (no more weekly time entry) or using a time Kiosk (Dining Services and Library Services only). Student workers cannot edit their time, so supervisors will need to make any corrections.


How often do I enter and submit my time?

You will need to clock in when your shift begins and clock out at the end of your shift.  You will continue to submit your time for approval every two weeks. Review the Time Tracking job aid for details.


What if I make a mistake on my time entry?

If you make a mistake on your time entry or forget to clock in/out, check with your supervisor on how they would like you to request a correction. One common approach is to add a comment explaining the correction when you next clock-in or clock-out.


What if I have more than one job on campus?

When logging hours in Workday, make sure to select the correct position from the drop-down menu. Each position has a specific routing queue, so your time entry will be sent to the appropriate supervisor for approval. If you hold multiple positions, payroll will consolidate your hours into a single paycheck, and you will receive one paycheck rather than separate ones for each job.


What if I didn’t work during a pay period?

When logging hours in Workday, make sure to select the correct position from the drop-down menu. Each position has a specific routing queue, so your time entry will be sent to the appropriate supervisor for approval. If you hold multiple positions, payroll will consolidate your hours into a single paycheck, and you will receive one paycheck rather than separate ones for each job.


What if I forgot to add time and the pay period is past?

The system will send you reminders up until the deadline to help ensure you don’t miss it. However, if you do miss the deadline, the time entry for that pay period will be locked to allow the payroll team to process payroll. This lockout period lasts until the pay day for that period, as indicated on the time entry calendar.

These late hours will be paid in the following pay period. Past pay periods remain open for 90 days, so you can enter any missed hours during this time.


How do I get paid?

We encourage all students to sign up for direct deposit. It simplifies the process and ensures your funds are available on the day checks are issued. With direct deposit, you avoid trips to the bank, delays from postal mail, and the risk of losing your check. 

You set up your payment elections through the Benefits and Pay applications from the menu.   Click the Payment Elections option.
